Best Fleet Maintenance Software

This shortlist ranks the leading fleet maintenance platforms by fit, not by a made-up score. We evaluate each one the way a maintenance manager does — how well it handles preventive maintenance, work orders, inspections and DVIR, parts inventory and fuel and cost tracking — rather than treating it as generic GPS or telematics. There is no single "best" tool: the right choice depends on fleet size, whether you run an in-house shop, and how much you lean on inspections versus telematics. Ratings and prices below were checked on vendor pages and Capterra on July 17, 2026; none of them is a house score, which we deliberately leave unassigned.

The shortlist, in order of fit

Presented in our editorial order. Each entry states who it suits, its independent Capterra rating and starting price, and why it earns the spot — with a link to the full source-linked profile.

  1. 1
    Fleetio logoFleetio 4.7/5 (246)

Mid-market fleets that want a maintenance-first CMMS covering PM, work orders, inspections and parts in one platform

Our default recommendation for maintenance-led fleets: preventive maintenance, work orders, inspections and parts are all first-class modules, not bolt-ons. Per-vehicle pricing is published and every tier includes unlimited users, and fuel-card plus telematics integrations keep meters current without buying GPS hardware. The main trade-off is that purchase orders and tire management sit in the higher Premium tier.

Whip Around logoWhip Around 4.7/5 (577)

Mobile-first fleets that want driver DVIR inspections as the entry point and grow into preventive maintenance and work orders.

The best entry point for inspection-driven fleets. It leads with a fast, mobile DVIR that drivers actually adopt, then flows defects straight into preventive maintenance schedules and work orders. A free single-asset tier lowers the barrier to trial; parts inventory and full PM scheduling move up to the Pro tier.

    MaintainX logoMaintainX 4.8/5 (1051)

Mixed fleets run by maintenance teams that also service shop equipment and facilities, and want a mobile-first work-order CMMS rather than a GPS-first fleet platform.

The strongest fit for maintenance teams that service vehicles alongside shop equipment and facilities, all in one mobile-first CMMS. Meter-based PM, procedures and parts are solid, and telematics integrations turn DVIRs and fault codes into automated work orders. It is weaker as a pure fleet tool: there is no native fuel tracking, and meter syncing is gated to the Enterprise plan.

  4. 4
    Samsara logoSamsara 4.5/5 (1017)

Mid-to-large fleets that want telematics-driven preventive maintenance, where engine fault codes and DVIR defects flow straight into work orders on one platform.

The pick when you want maintenance and telematics unified on one platform. Native GPS and engine diagnostics mean live fault codes and driver DVIR defects feed directly into PM schedules and work orders, with AI repair guidance for technicians. It is overkill — and hardware-committed — if you only need standalone maintenance software.

    AUTOsist logoAUTOsist 4.7/5 (163)

Small and midsize fleets and equipment-heavy operations that want simple, affordable maintenance tracking without a steep learning curve.

A pragmatic choice for cost-conscious SMB and equipment-heavy fleets that want core maintenance first. PM reminders, inspections, work orders and parts start at a low per-vehicle price with unlimited users, and native GPS can be added later as a paid tier. Reviewers consistently praise it as easy to use and uncluttered.

Simply Fleet logoSimply Fleet 4.6/5 (28)

Small to mid-size fleets that want affordable, mobile-first maintenance tracking without enterprise complexity

The budget-friendly option for small fleets that need real maintenance management without enterprise rates. It covers PM scheduling, mobile DVIRs, work orders, parts and fuel at some of the lowest per-vehicle pricing here, with a free tier for up to five vehicles and no mandatory annual contract. Work orders, inventory and telematics sync require the Advanced tier.

  7. 7

Municipal, government, and mid-size private fleets (100+ assets) that run in-house maintenance shops and need deep parts, work order, and fuel cost control.

Built for in-house maintenance shops — municipal, government and mid-size private fleets — that need deep parts, work-order and fuel-cost control. Long-time shop users praise its mature parts inventory and highly rated support, and pricing is transparent per asset with unlimited users. Expect a steeper learning curve, a dated core and a 100-asset minimum.

  8. 8

Mixed fleets and heavy-equipment operations that need one EAM/CMMS to manage vehicles and non-vehicle assets together.

A fit for asset-heavy operations that run vehicles and non-vehicle heavy equipment under one EAM/CMMS. PM is driven by mileage and machine-hour data, with strong parts, purchase-order and compliance-focused DVIR workflows. Pricing is quote-only, the setup skews enterprise, and its overall user rating is the most mid-tier on this list.

Limble CMMS logoLimble CMMS 4.8/5 (755)

Maintenance-focused fleets and mixed-asset operations that want a top-rated, mobile-first CMMS with strong preventive maintenance, work orders, parts inventory, and inspections — rather than a GPS/fuel-card telematics platform.

Genuine maintenance software (a CMMS), not pure telematics — so the maintenance facets are real. It is a strong fit for maintenance-led fleet/equipment programs, but teams that need built-in GPS tracking or native fuel-card management will have to pair it with a telematics provider (Samsara/Geotab/Motive-class), since Limble offers those only via integration.

    UpKeep logoUpKeep 4.6/5 (1329)

Maintenance-led fleets (mixed vehicle + facility/equipment operations) that want a mobile-first CMMS built around work orders, PMs, and DVIRs rather than GPS tracking.

A real fleet maintenance CMMS, not pure telematics. UpKeep Fleet covers the maintenance core well (PM, work orders, DVIR inspections, parts, vehicle asset history, DOT compliance), which is why the maintenance facets are true. It has no native GPS hardware and no dedicated fuel cost/consumption tracking module (it only surfaces a live "Fuel Level" reading pulled from third-party telematics), so native_gps and fuel_tracking are false. Best fit for shops that already run maintenance in a CMMS and want vehicles in the same system, or that plug in an existing telematics provider for location data.

    Fullbay logoFullbay 4.6/5 (97)

Heavy-duty truck and trailer repair shops (commercial diesel service providers) and fleets that run their own in-house heavy-duty maintenance shops.

Genuine heavy-duty maintenance software, not pure telematics. Fullbay is repair-shop-management-first (work orders, PM, DOT inspections, parts) so all maintenance facets apply. It has no native GPS/telematics hardware and no built-in fuel-card/fuel-tracking module, so those facets are false. Best fit for commercial heavy-duty repair shops and fleets operating their own diesel shops; a company only wanting vehicle GPS tracking should look elsewhere.

  12. 12

Mid-to-large heavy-duty fleets, private carriers, and municipal/government motor pools that need deep, maintenance-first shop management (VMRS coding, DOT documentation, full cost control) rather than a lightweight app.

A genuine, maintenance-first FMIS and one of the most established products in the category — well-suited to fleets that run a real shop and need rigorous PM, work-order, parts, and DOT/VMRS control. It is not a telematics product: GPS/location is available only via integration with third-party providers, so native_gps is false. Pricing is quote-based with no public rate card, and the depth of the system carries a learning curve, so it fits organizations willing to invest in a full maintenance platform rather than teams wanting a quick, self-serve app.

    Cetaris logoCetaris 4.8/5 (34)

Large enterprise and mid-market fleets (transportation, distribution, grocery, oil & gas, utilities) that run a dedicated shop and want a maintenance/EAM platform focused on warranty recovery, parts optimization, and asset uptime ROI.

Cetaris is a legitimate, maintenance-first fleet CMMS/EAM aimed at the enterprise end of the market, with deep work-order, PM, parts, and warranty functionality and strong customer-service reviews. It is not a native GPS/telematics vendor: location and fuel data arrive through integrations (Samsara, Geotab, fuel systems), so native_gps and native fuel tracking are false. Best fit for larger fleets with an in-house maintenance shop willing to invest in a detailed implementation; likely overkill and too costly for small fleets that just want simple scheduling.

    Fleetpal logoFleetpal 5/5 (4)

Small-to-midsize heavy-duty trucking and equipment fleets that want a maintenance-first system to control repair, parts, and downtime costs.

Fleetpal is a genuine fleet maintenance product (not pure telematics or generic field service): PM scheduling, work orders, DVIR inspections, parts inventory, and repair-cost reporting are all first-class features. It is a strong fit for maintenance-focused SMB trucking fleets. It is not a native GPS/telematics vendor (it integrates with third parties), and it does not publicly document fuel tracking, so those facets are marked false. Pricing is entirely quote-based, which can slow evaluation for very small fleets.
